Turn recurring expenses into a usable overhead figure
Enter average monthly expenses for the listed categories. Add any cost not represented by a category under other monthly overhead. Then enter the number of productive technicians and the total monthly billable hours generated by those technicians.
Use consistent expense categories
Overhead normally covers costs that keep the company operating but are not assigned directly to one job. The exact classification depends on how the company keeps its books. Avoid counting an expense as both a direct job cost and overhead when using results in another pricing calculation.
Understanding the outputs
Monthly and annual totals show the expense base entered. Overhead per technician spreads the monthly total evenly across productive technicians. Overhead per billable hour divides it across the billable hours entered. If monthly revenue is supplied, the calculator also shows entered overhead as a percentage of revenue.
Practical example
A growing contractor may add office payroll, software, vehicles, insurance, and advertising before all technician schedules are full. Reviewing overhead per billable hour can make the effect of capacity and utilization easier to see.
