What is an HVAC work order?

An HVAC work order is the field record for a service visit or installation task. It connects the customer and equipment details with the reported problem, technician findings, authorization, work performed, charges, system status, and customer closeout.

What an HVAC work order should contain

At minimum, identify the customer, service address, assigned technician, appointment, equipment, and work-order number. Record the customer complaint separately from the technician’s diagnosis. Then document recommended and authorized work, labor and materials, completed work, follow-up recommendations, payment status, and acknowledgments.

The builder includes fields for company and customer details, equipment manufacturer and model, diagnosis, authorization method, itemized charges, tax, totals, system status, recommendations, and signatures. Complete only the fields that apply to the job and follow your company’s authorization and recordkeeping procedures.

How to use this free template

Use the interactive builder above to enter the job details and review the work order as it takes shape. Your entries stay in the current browser. You can save a local draft, print the finished work order, or use the browser’s Save as PDF option without creating an account.

Reusable blank PDF and editable DOCX files are delivered by email after you request them. Email is required only for that file-delivery request, not for the browser builder or the work order you create.

Use the HVAC service call checklist to guide the visit from intake through closeout, then preserve the customer, equipment, authorization, work, and charges here. For pre-job pricing, start with the HVAC estimate template; after completion, carry the approved work into the HVAC service invoice template.

Practical HVAC example

For a no-cooling call, the customer complaint might state that the system runs without cooling. The diagnosis section should record the technician’s supported findings and relevant conditions. Authorization should identify the approved work and method of approval. The closeout should state what was performed, parts used, final system status, charges, and any recommended follow-up.

Keeping those items in separate fields makes the record easier for the technician, office, and customer to follow. Attach photos or readings in the company’s job system when they support the work-order record.

Limitations

This operational form is a general starting point. Adapt it to local law, licensing rules, payment requirements, and company procedures. Review the completed document before it is signed, delivered, imported, or used as a business record. Note that while this template provides a comprehensive structure, it may not cover every specific scenario encountered in HVAC operations.
