HVAC invoicing software that starts with the work your technician finished
Prepare and send the invoice while the service-call details are still clear. ClimaCall keeps the customer, property, work order, invoice, and payment record connected for a small HVAC team.
Free Forever includes up to 3 users and 20 work orders per month. Process payments for 5 work orders through ClimaCall Payments and the monthly allowance increases to 50. No credit card or contract is required for Free Forever. Core is $49.99 per technician per month and includes up to 2 free back-office seats.
The invoice should not begin with a paperwork search
A finished job can sit unbilled because the office is missing a part, a price, an approval, or a clear description of the work. The delay starts before anyone opens the invoicing screen. It starts when the job record does not come back from the field complete.
ClimaCall connects the invoice to the customer, property, work order, and products or services used for billing. That gives the office a place to review the finished work, prepare the charges, send the invoice, and track the balance without starting from a blank document.
| Question | What to verify in ClimaCall |
|---|---|
| Can the invoice start from the job record? | Confirm that completed work orders and products or services can be carried into an invoice without retyping the visit. |
| Can the office see what is still owed? | Check draft, sent, unpaid, partial, and paid states with a real test invoice. |
| Can the customer pay the way your shop accepts payment? | Test the available ClimaCall Payments methods and review processing terms before sending a live invoice. |
| Can the shop find the record later? | Open the customer, property, work order, invoice, and payment record after the test is complete. |
Build the invoice from a documented HVAC job
Start with a completed work order. Confirm the customer and property, review the recorded work, and add the applicable work orders, products, or services to the invoice. Set the invoice and due dates, check the line items, and make the description clear enough for the customer and your own records.
The invoice is the customer-facing result of the field record. If the work order is incomplete, fix that record before sending a vague bill. Use the free HVAC service invoice template to define the fields your shop expects on every invoice.
See draft, sent, partial, unpaid, and paid work
The Transactions area gives the office a view of invoices and their current state. Use those states consistently so a partial payment does not look closed and a sent invoice does not disappear into a general list. The record should answer two ordinary questions: what did we bill, and what is still owed?
Read the current invoice-management instructions and payment-processing guide before testing with live customer information.
Accept payment without hiding the processing terms
ClimaCall Payments supports digital payment collection from the billing workflow. Test the available card, bank, and other displayed methods in your account, and review current processing charges and payout terms before deciding how your shop will use them.
Processing payments for five work orders through ClimaCall Payments increases the Free Forever work-order allowance from 20 to 50 for that monthly cycle. Payment-processing fees are separate from the software subscription. State that plainly when comparing the free plan with another system.
Use reminders and follow-up as a process
A sent invoice still needs an owner. Decide when the first reminder goes out, who reviews partial payments, and when an overdue balance moves from an ordinary reminder to a direct conversation. Automatic estimate follow-up is available, but estimate follow-up and invoice collection are different workflows.
The practical guide on slow-paying HVAC customers covers terms and follow-up. The article on the HVAC invoicing process explains why the field-to-office handoff matters.
Know where ClimaCall ends
ClimaCall handles the operational billing record and payment workflow described here. Before switching, verify any required accounting sync, tax workflow, progress billing, financing, multi-location reporting, or export format. Financing prompts are in development and are not a current invoicing promise.
Job-profit reporting is basic today. If detailed job costing is central to your decision, compare the current report with your own completed jobs and keep the accounting process your business needs.
Check the workflow before you move live work
Use a representative service call and confirm every step your shop depends on. Current ClimaCall feature availability, plan limits and pricing, and product documentation take precedence over old screenshots, videos, or marketing copy.
GPS technician tracking and financing prompts are in development. They are not presented here as current features. Route optimization and automatic estimate follow-up are currently available. Job-profit reporting is basic and should be evaluated against the reports your shop needs.
