Stop Running Your HVAC Company Through Text Messages

Replace scattered texts, memory, and “where are you?” calls with one practical job flow your office and field team can actually follow.

  • Built for 1–10 tech shops
  • Free practical tools
  • No fluff

Build one reliable path from the first customer call to a closed, documented, collectible job.

Text messages are useful for conversation. They are terrible as the permanent record of a job. The customer’s access note lives in one thread, the technician’s diagnosis in another, the approved price in somebody’s memory, and the return-part promise on a sticky note beside the dispatcher.

This course does not ask a three-person shop to behave like a national fleet. It gives you the smallest operating system that prevents information from disappearing: one intake record, one work order, explicit statuses, a field-completion standard, and a daily exception review.

Who this course is for

  • Stage 2: First Team: three to four technicians replacing owner memory with a shared process.
  • Stage 3: Working Shop: five to seven technicians building a real dispatch and documentation function.
  • Stage 4: Growing Company: eight to ten technicians getting the owner out of every handoff.
  • Owners, dispatchers, office managers, and lead technicians who are willing to agree on one definition of “done.”

What you will finish with

  1. A current-state map showing every handoff and information leak
  2. A required intake standard and a clear rule for when a call is schedulable
  3. A minimum viable work-order standard with ownership for every field
  4. A dispatch board with explicit statuses, readiness rules, and communication triggers
  5. A short field-completion standard tied to evidence and next actions
  6. A same-day closeout checklist and an owned list of every open promise
  7. A daily operating rhythm, weekly audit, and owner escalation rule

The seven lessons

# Lesson What you finish
1 Map the Job Information Trail A current-state map showing every handoff and information leak
2 Create One Intake Record Before Scheduling A required intake standard and a clear rule for when a call is schedulable
3 Make the Work Order the Source of Truth A minimum viable work-order standard with ownership for every field
4 Schedule and Dispatch Without Guessing A dispatch board with explicit statuses, readiness rules, and communication triggers
5 Build Field Documentation That Gets Finished A short field-completion standard tied to evidence and next actions
6 Close Every Job Before Tomorrow A same-day closeout checklist and an owned list of every open promise
7 Run the System by Exception A daily operating rhythm, weekly audit, and owner escalation rule

One shop, all seven lessons

Every lesson follows Ridgeline Heating & Air, the same fictional four-technician residential shop used throughout the Academy. Its situations and figures are illustrative, not survey data, benchmarks, or promises about your company.

Before you start

  • Three recent jobs: one smooth, one delayed, and one that required a callback or return visit.
  • The texts, paper forms, calendar entries, invoices, and notes associated with those jobs.
  • Sixty uninterrupted minutes with the person who answers the phone and one field technician.
  • Permission to simplify. A workflow nobody follows is not improved by adding fields.
