HVAC dispatch software for the calls that move, run long, and change

Give dispatch and technicians the same work-order record, current assignment, and job status. ClimaCall helps a small HVAC shop change the plan without rebuilding the day in phone calls and group texts.

Free Forever includes up to 3 users and 20 work orders per month. Process payments for 5 work orders through ClimaCall Payments and the monthly allowance increases to 50. No credit card or contract is required for Free Forever. Core is $49.99 per technician per month and includes up to 2 free back-office seats.

Dispatch begins after the appointment hits the board

The schedule says what should happen. Dispatch handles what is happening now. A technician calls out, a compressor diagnosis runs long, a customer changes access, or an emergency call needs a place on the board. The dispatcher needs the current work, the available people, and enough job context to make the next decision.

ClimaCall connects the assignment, schedule, customer, property, equipment context, work-order details, and job status. That shared record gives the office and field a common reference while the plan changes.

The day changesWhat dispatch can do
An emergency call comes inReview the board, technician availability, existing work, and route before assigning the new call.
A job runs longUpdate the work-order status and adjust later appointments while the job details remain attached.
A technician needs job contextKeep the customer, property, equipment, issue, notes, and attachments available from the assigned work order.
The office needs an answerRead the current job status and record instead of reconstructing the visit through phone calls and group texts.

Assign the technician with the whole day in view

Review existing work, technician availability, job duration, customer priority, and planned route before making the assignment. Route optimization can help order scheduled stops, but the dispatcher still decides whether the technician, equipment experience, promised window, and call priority fit.

If the problem is collecting the right information before the assignment, start with the HVAC service-call form. If the problem is the initial calendar plan, review HVAC scheduling software.

Use job status as an operating habit

A board is only current when people update it. Define when a job becomes in progress, completed, on hold, or canceled, and what note is required when the status changes. The office can then see which work needs attention without asking every technician for a separate update.

ClimaCall supports a work-order status path from pending and scheduled through in progress, completed, and invoiced, with on-hold and canceled states for exceptions. The documented status workflow gives the team a starting point.

Send the job details with the assignment

A technician should not have to call the office for the address, contact, equipment note, gate code, or customer complaint already collected. Keep those details on the work order and update the same record when the customer or plan changes.

During the visit, the technician adds field notes, attachments, parts, work performed, and status. That record becomes the office handoff for the return visit, invoice, or customer question. See the planned HVAC work-order software guide for the full record.

Be clear about what dispatch visibility means today

Current visibility comes from the schedule, technician assignment, work-order status, and field updates. Route optimization is available for planning stops. GPS technician tracking is in development, so ClimaCall should not promise a live truck map or location breadcrumb as a current feature.

That limit matters. A shop that requires live location for payroll, customer ETAs, fleet security, or commercial documentation should wait for the released feature or keep its current GPS system.

Build a dispatch routine the team can follow

Start the day by reviewing unassigned and priority work. Confirm the first calls, check special access and parts, and use route optimization before trucks leave. During the day, watch status exceptions, adjust assignments, and record the reason for holds or returns. At closeout, find work that is completed but not ready to invoice.

The free HVAC dispatcher daily checklist turns that routine into a repeatable office process. The service-call checklist gives technicians the matching field process.

Check the workflow before you move live work

Use a representative service call and confirm every step your shop depends on. Current ClimaCall feature availability, plan limits and pricing, and product documentation take precedence over old screenshots, videos, or marketing copy.

GPS technician tracking and financing prompts are in development. They are not presented here as current features. Route optimization and automatic estimate follow-up are currently available. Job-profit reporting is basic and should be evaluated against the reports your shop needs.

HVAC dispatch software questions

What is the difference between HVAC scheduling and dispatch?

Scheduling sets the planned time, duration, and technician. Dispatch manages assignments, status, exceptions, and updates as the service day changes.

Can ClimaCall reassign or reschedule a service call?

The current workflow supports editing the scheduled work order and its technician assignment. Test the exact rescheduling and notification path used by your team.

Can dispatch see job status?

Yes. Work orders move through defined statuses that give the office a current operational view when technicians and dispatchers update them consistently.

Does ClimaCall include route optimization?

Yes. Route optimization works with the planned service schedule. Dispatcher judgment is still needed for job length, technician fit, traffic, and priority.

Does ClimaCall show live technician GPS location?

GPS technician tracking is in development. Current dispatch visibility is based on the schedule, assignment, status, and field updates.

Test dispatch with a day that does not go to plan

Create several calls, add an emergency, move one appointment, reassign a technician, update a job status, and confirm the office and field still see the same record.
