HVAC scheduling software for the day you actually have

Book the call, see who is available, catch conflicts, plan the route, and keep the schedule attached to the work order. Built for small HVAC teams whose day changes after the first phone call.

Free Forever includes up to 3 users and 20 work orders per month. Process payments for 5 work orders through ClimaCall Payments and the monthly allowance increases to 50. No credit card or contract is required for Free Forever. Core is $49.99 per technician per month and includes up to 2 free back-office seats.

A clean schedule starts with a complete service request

A name and a time are not enough when the technician reaches the driveway. Record the customer, property, contact information, equipment or issue context, access notes, priority, and expected duration before placing the visit on the calendar.

The free HVAC customer-intake form and HVAC service-call form show the information worth collecting. ClimaCall carries those details into the scheduled work order so the technician does not begin with an empty appointment.

See availability before you promise the time

When you schedule a work order, ClimaCall shows technician availability against working hours and existing assignments. If the proposed time overlaps another job, the system warns you and helps you review open times before confirming the booking.

That does not replace dispatcher judgment. A two-hour opening may be wrong for a four-hour repair, and an available technician may not be the right person for the equipment. Use the schedule as the shared picture, then apply the experience your office already has.

Move the appointment without losing the job

Weather, parts, emergency calls, and long diagnoses change the board. Edit or move the work order, update the assignment, and keep the customer and job details attached. The office and field should see the current plan without creating a second record for the same work.

The ClimaCall calendar guide covers month, week, day, and list views, filters, scheduling, and rescheduling. Use it as the product reference instead of relying on a generic promise about “smart scheduling.”

Optimize the planned route, with the GPS limit stated clearly

Route optimization is available for planning the order of scheduled stops. Use it to review the day before the trucks leave and again when the schedule materially changes. Drive time still depends on the actual service area, traffic, job duration, and technician assignment.

GPS technician tracking is being developed. Route optimization should not be described as live technician location. This page separates the available planning tool from the roadmap feature so a small shop can make an honest buying decision.

Scheduling and dispatch are related, but they are not the same job

Scheduling answers: when is the visit, how long should it take, and who is assigned? Dispatch answers: what is happening now, what changed, and who needs the next update? Keeping those questions separate makes both pages and both workflows clearer.

After the call is booked, continue with HVAC dispatch software for day-of changes. Use the HVAC dispatcher daily checklist to define the office routine around the board.

What a small HVAC shop should test

  1. Book a call with enough customer and job context.
  2. Assign a technician who already has work on the calendar.
  3. Try an overlapping time and review the conflict warning.
  4. Move the appointment and confirm the work order stays intact.
  5. Use route optimization on a realistic service day.
  6. Open the assigned visit from the technician view.

If any step depends on a feature that is still being developed, keep that requirement on your evaluation list instead of assuming it will arrive by a particular date.

Check the workflow before you move live work

Use a representative service call and confirm every step your shop depends on. Current ClimaCall feature availability, plan limits and pricing, and product documentation take precedence over old screenshots, videos, or marketing copy.

GPS technician tracking and financing prompts are in development. They are not presented here as current features. Route optimization and automatic estimate follow-up are currently available. Job-profit reporting is basic and should be evaluated against the reports your shop needs.
